Residential moving is about stuff. Office moving is about sequence: the right desks, computers, and files arriving in the right order so Monday morning feels like a normal day in a new room. Ottawa businesses — from Kanata tech firms to downtown professional offices — relocate constantly. Here's the framework that keeps downtime near zero.
Appoint one move coordinator (and give them authority)
Every successful office move has exactly one person who owns the plan: the floor plan, the labelling system, the vendor schedule (movers, IT, landlord), and the answers to 'where does this go?' Diffusion of responsibility is how a server rack ends up in the wrong suite. The coordinator also runs the building logistics — elevator bookings in commercial towers work exactly like the condo rules in our apartment moving guide.
Schedule for downtime you can afford
Most Ottawa office moves happen on evenings and weekends for a reason: Friday evening load-out, weekend transport and setup, Monday morning at desks. Ask any mover you interview whether they run after-hours commercial moves, and get the full schedule in the written quote — including what happens if the building restricts weekend access. For how commercial pricing works, see our moving cost guide.
Label by workstation, not by department
The system that works: every desk gets a number on the new floor plan, and every item from that desk — monitor, tower, chair, bins, the box of personal stuff — gets that same number. Colour by floor or zone if the space is big. IT disconnects and reconnects by number, staff unpack by number, and nothing labelled 'misc — Sarah's team?' haunts you for a month.
IT first, IT last
Servers, network gear, and phone systems are the long pole. IT should be the last thing disconnected at the old office and the first thing live at the new one — ideally tested Sunday, not discovered broken Monday. Photograph every workstation's cable setup before teardown (this tiny step saves hours). Critical equipment travels padded and labelled FRAGILE; our fragile packing method applies to monitors and servers, too.
Staff packing: small, clear, deadline-driven
Give each employee one or two boxes for personal desk contents, a firm deadline (end of day Thursday for a Friday move), and a rule: if it isn't in a box, it isn't moving. Shared areas — kitchen, supply room, archives — belong to the coordinator's plan, not to whoever walks past. Purge archives ruthlessly; nobody has ever regretted not moving ten years of dead files.
Surplus furniture and the storage bridge
New spaces rarely fit old furniture perfectly. Decide in advance what goes to the new office, what gets sold or donated, and what needs storing 'just in case.' Our St. Laurent facility takes office overflow on the same invoice as the move — one vendor, one bill, and delivery back whenever you call for it.
Planning a relocation? Start with a walkthrough quote: we will map your floor plan, count workstations, and build a schedule around your working hours. Tell us your target Monday, and we will work backwards.
The week after: plan the settle-in, too
Smart coordinators book a half-day of post-move support in advance: a small crew or handyman window for furniture adjustments, picture and whiteboard hanging, and the inevitable 'these three desks need to swap.' Collect issues into one list during the first two days rather than fixing them ad hoc. Archive the move paperwork — final floor plan, labelling key, vendor contacts — because the next reorganization will thank you. A move that's 95% finished on Monday and 100% by Friday is a success; chasing the last 5% for a month is what happens without the settle-in plan.
